• 501 c 3 will be mailed in tomorrow

• Art Council would like presentation on Art Supply needs so that they can decide how to allocate money

• Zina will contact Jack Wiley about borrowing wood floor refinishing equipment and will also contact prison about building display units.

Pat made motion that all checks need to be made out to Clayton Arts and then distributed as needed. Carol 2nd. Motion passed.

• Karan agreed to obtain receipt books and buzzer for back door.

• Pat is working on ENMR Grant for $10,000 dollars for remodeling

• Keys to New Club Bldg. will be given to the 4 main officers of the CFWC and the Civic Chair.

• Committee for Art Classes/ Supplies was formed including Karan, Jamie, & Zina. Karan is to compile list of classes and supplies needed for those classes.

• Jamie will find in minutes all committees and volunteers for them

• Tomorrow signing will be at Farmers and Stockman’s at 2:00. Reception will follow at New Building at 3:30.

May 20th Minutes

Civic Meeting Minutes

5.20.2010

Meeting called to order at 6:15.

Minutes were approved as read.

Tucumcari- provide art teacher, murals, need to talk to Guymon, OK Art Gallery, recommended buying instead of leasing; Have to accept all art, but don’t have to display it.

Fundraising- have 200 recipes and artwork for front is completed

Building- Jamie made motion to pursue acquiring currently housing Spots for Art Center and CFWC House. Zina seconded motion. Motion approved.

Pat made motion for Co-op conditions to read as follows: CFWC owns & controls any purchased properties. Jamie seconded. Motion approved.

Need to approach 3 banks about financial aspects. Pat will call Tucumcari for Guymon info. Tentative trip to Guymon scheduled for June 5.

Anonymous $5,000 was donated to Art Center.

Brower’s will donate $100 per month toward payment.

Whiteside’s might donate $1500.

Unofficial Pledges include: Art Council, Sowers, Hertzstien foundation.

It was announced that Jackie Mares will be moving. We should make the Dine Out meeting a good bye party for her.

May 8th is Motorcycle Run.

Minutes from March meeting were approved as read.

Treasurer’s report- Sue has check for $950 to open Money Market Acct. Four signatures are required for the account. Karan, Zina, Pat, & Carol need to sign signature card.

March 18th Minutes

Civic Division Minutes

March 18, 2010

Meeting called to order at 6:15.

Minutes were approved as read.

Correspondence/ Grants- Forest Service gave Jamie names to contact. Carol talked to Vicky Watson w/ Mesa Land Community College. She said she would love to work with us. Carol is to make an appointment to talk with her further.

Treasurer Report- Pat - We are incorporated! State initial report is done. Chris has donated time and will “fake” bill us. We have tax ID #. Will get FCC# whne we get 501-C-3. Need to keep CFWC separate from Civic in the bookkeeping. Members need to keep reciepts to be reimbursed. We will not be able to reimburse anyone without a reciept.

-haven’t been able to contact Beck about contract. Might want to consider other buildings since we aren’t getting anywhere with the city. Other buildings to look at are Pixi’s, Spots, Farmer’s & Stockmans’ Old Bank, Honey Poling’s. Meet Tim at 10am Friday to look at Pixis.

-ask Main St. to nudge city. Next Main St. Meeting is 1st Tues. (April 6th), 6:30pm at Crossroads Realty.

Next Civic Meeting is April 15th at 6pm; Warp 12. Carol has snacks.

Santa Fe Trail Art Meeting Minutes

Santa Fe Trail Art Meeting & Civic

March 13th, 2010

Called to order at 12:00.

Minutes included watercolor and oil painting class held by Greda in Feb. Slate of officers had been installed . Minutes ap proved.

Treasurer’s report: balance of $1116.16. Still reciving dues ($10) and paid Union County Leader for advirtising.

Old Buisness- Art Center- Civic Division of CFWC is taking on project. Things that need to be done are building renovations, fundraising, getting grants and grant writers, art jury, & various other things. So far fundraisers include a cookbook and stars/tiles with sponsers names. Cookbook packets were given out with recipe submission forms and members with internet access can submit recipes online. Members were invited to contribute their recipes to the cookbook. Members with internet access are more than welcome to receive our newsletter for the Civic Division.

Help was needed with scrapbook and 3 women said they would work on scrapbook together.

Sue & Rhoda are hostesses for April meeting.

February Minutes

Civic Meeting



February 18, 2010 - 6pm - Warp 12

Called to Order 6p

Jackie Mares led prayer.

Minutes were approved as read.

Correspodence- (which turned in to Grant Writing committee) Jackie contacted Victoria Parrill who said she would help as much as she could. Jamie contacted Forest Service which hasn’t gotten back to her with who handles the grants. Zina talked to Midge who suggested contacting Raton Grants for Arts. Karan still needs to contact Kristin Christy.

Treas. Report- Pat will follow up on incorporation papers.

Committee reports-

Maintenance- Pat - Contract is being held up with Beck. We are going to wait until we are able to sign to really push city for the contract.

Grants- Talked about getting an online class lined up. Decieded that Mesa Land College would be a good place to start looking for classes. Zina said she would contact them.

Fundraising- Jamie suggested Cookbooks for new fundraiser. Need a way to pay for cookbook (lodgers tax?) Jamie said she would get more info. Tiles were discussed for fundraiser and we decieded to modify them with metal stars.

Art Review- Karan will check out Sue’s pictures for the Art Center.

Santa Fe Trail Art Club has invited us to attend their next meeting and share what we are doing with the Art Center. March 13, 2010, 10am at the Housing Authority. Bring a dish for brunch.

Jamie will look at Fireproof safes and will call Rose about Green book.

Next meeting is March 18th, 6p at Warp 12. - Jackie will bring snacks.

January 21, 2010 Minutes

CFWC – Civic Meeting

January 21, 2010 – Warp 12

Meeting was called to order at 6:05pm. 6 members were in attendance.

Jamie passed around a sheet to sign up for refreshments.

Discussion was held on including the other Art clubs in our planning for the “Clayton Arts”. Karan will talk to Santa Fe Trail Art Club about coming to their meeting. Their meetings are held the 2nd Sat. at 10:00am with a potluck brunch.

Minutes stand approved as read.

Treasurer’s report- Waiting for incorporation to be complete so that we can get Federal Tax Id Number. We need to have Tax Id # in order to open bank acct. We will open a NOW acct. with Min. $1000. Our balance will be $1050.00 when we open the acct.

Filling Committee report- Incorporation papers have been mailed and 501-C-3 papers are being worked on. Discussion was held on insurance, renters insurance, artist’s waiver and liabilities.

Our next steps for preparations:

Get Money- Potential Sources, Grants (Grant writer)

Maintenance/ Clean up Building- get estimate, work days

Advertise- website,

December 17th, 2009 – Warp 12

Called to order at 6:15.

Members present: 6

Jamie moved to have the Civic Division’s primary focus to be the Art Center. Pat 2nd. Approved.

Jamie moved to reassign officers for the Civic division. Pat 2nd. Approved.

New slate of officers for Civic Division is as follows:

Chairman of Civic Group – Zina Schamber

Vice Chairman - Carol Childress

Secretary – Jamie Blanks

Treasurer – Karan Brower

Vice Treasurer – Pat Chavez

Need to set up account for Civic Division. We will use Quickbooks or other accounting program.

Subcommittee for legal paperwork formed- Pat Chavez, Karan Brower, & Jo Beth Vigil-Price

Jamie said she would contact the Chamber about getting in the Green Visitors Guide book.

Karan said she talked to Gary Carter who said he would love to help us with estimating our project costs.

We decided to make an Honorary Plaque for people or organizations that have donated a great deal of time, money, or materials to “Clayton Arts”

Discussion held on Art Center and the involvement of the Civic Division.

Idea for using the Dudley Building for the Art Center discussed and we decided that we would present it to the Club for a vote and to invite people to be on the committee.

April 23, 2009 Minutes

April 23, 2009

Present: Jamie Blanks, Victoria Baker, and Jackie Mares

Announcements: Meth Education by law enforcement and Fish Fry tomorrow at the Air Park.

Pending Projects:

1. Parent Assembly - Things to work on:

-Reserving Wood Hall for 2 evenings (Tues and Wed.)

-Victoria will speak to John Burgess and Stacey Dillard to inform them of our plans and get the Hall reserved.

- Jackie will talk with Sanda Kotulak about working together during Red Ribbon Week and setting up components and invite her to our next meeting.

-Victoria suggested working with the schools to give extra credit to the students whose parents attend.

-Presentation on drugs & alcohol should last about 30 minutes.

-Possibly have teen parenting coordinator from Clovis, Jackie or designee on teen dating violence, someone about STD’s ; with each speaking about 20 minutes. Parents would be invited to speak with any of the presenters (who will each have an information table) following the presentations… so the evening could be within a 3 hour time frame.

- food should be served.

2. Help to advertise and support the efforts of Crime Stoppers and perhaps

begin a neighborhood watch. Ideas:

- advertise in Esto y Eso

- do radio spots

- put out flyers and possible magnets or key rings with the phone number

- perhaps assist them with their budget someway

- Victoria will contact the person who attempted Neighborhood Watch before and ask how we might help. Jamie will get the name and number to her.

Next meeting will be July 16, 2009, 7 pm at the museum.
